Projects and Tasks
Types and phases, roles and services, statuses, task views, templates and messages.
Written By Julia M.
These pages set up how projects run: their types and phases, the roles you bill, their statuses, and how Tasks works.
Watch it: the Settings lesson in Campus, step 9, “Projects and Tasks” (2:03). Each section below names its chapter.
Types and phases
Settings › Studio › Projects › Types and phases
Watch it: step 9, chapter 1, “Types and phases” (starts at 0:09).

Project types bring their own phases. Pick a type, and set each phase's color, how long it usually takes, and a description.
New projects of that type start with these phases. Projects already underway keep their own.
Roles and services
Settings › Studio › Projects › Services
Watch it: step 9, chapter 2, “Roles and services” (starts at 0:28).

Roles are what your team logs time against and what each is worth per hour, with a description that prints on invoices.
Custom services are labor you buy from a contractor and resell, like wallcovering install.
Rate increases raise a project's rates every year on a date.
Project statuses
Settings › Studio › Projects › Statuses
Watch it: step 9, chapter 3, “Project statuses” (starts at 0:50).

Each status has a color, and Looks like shows the pill as it will appear. Built-in statuses can be renamed and recolored but not removed.
Task views and defaults
Settings › Studio › Tasks › Views and defaults
Watch it: step 9, chapter 4, “Task views and defaults” (starts at 1:04).

Turn off any views your studio does not use. They come back with everything saved.
Set whether new tasks are visible to clients, and the note and disclaimer every new project starts with.
Task templates
Settings › Studio › Tasks › Templates
Watch it: step 9, chapter 5, “Task templates” (starts at 1:21).

Templates save a whole project's tasks, one phase's, or a single task. Pick one on the left to change it.
Each task has its type, the day it starts in the phase, how long it takes, its hours, its subtasks, and what it waits on.
Already have your tasks in a spreadsheet or Asana? Import brings them in as a template.
Task statuses and messages
Settings › Studio › Tasks › Statuses and › Messages
Watch it: step 9, chapter 6, “Task statuses and messages” (starts at 1:47).

Task statuses work like project statuses. Messages holds the words that start a note when a date moves.
