Keep track of everything

Activity, privacy, imports, Walter’s rules and jobs, and Link Management.

Written By Julia M.

These pages show what has happened in your studio, decide what is recorded, take back an import, and check Walter's work.

Watch it: the Settings lesson in Campus, step 7, “Keep track of everything” (2:03). Each section below names its chapter.

Activity

Settings › Studio › Activity

Watch it: step 7, chapter 1, “Activity” (starts at 0:08).

Settings › Studio › Activity, Activity

Everything anyone does in Workroom: your team, clients in the portal, and contractors and vendors.

Each row shows who, what they did, the change from before to after, the project, and the browser, operating system and city it came from. Click a record to open it. Search for a name, a number or a product, or filter by person, action, area, project or date. Exports, imports and downloads are recorded too.

What's recorded

Settings › Studio › Activity › What's tracked

Watch it: step 7, chapter 2, “What’s recorded” (starts at 0:37).

Settings › Studio › Activity › What's tracked, What's recorded

This tab lists everything Workroom records, and lets you turn off anything your studio would rather not keep, like where people sign in from.

Choose who can see Activity and how long it is kept. Sign-ins, settings changes and money moving are always recorded, for security.

Imports

Settings › Studio › Imports

Watch it: step 7, chapter 3, “Imports” (starts at 0:59).

Settings › Studio › Imports, Imports

Move your studio in lists the order to bring your studio across: contacts, vendors, projects, products, contracts, tasks or task templates, estimates, invoices and purchase orders, then timelogs. Going in that order means every project finds its client and every product its vendor. Each step has a template to download.

Past imports lists every import: what came in, from where, and who ran it.

Imported the wrong file? Take it back out. Anything someone has changed since stays, so nobody's work is lost.

Walter's rules and jobs

Settings › Studio › Walter

Watch it: step 7, chapter 4, “Walter’s rules and jobs” (starts at 1:21).

Settings › Studio › Walter, Walter's rules and jobs

Product rules are things every product has to meet, written in plain words.

What it writes for you sets how Walter opens the studio recap and client updates, in your studio's own words.

Scheduled jobs are things Walter does on a schedule, like a morning brief posted in a team room.

Settings › Studio › Link Management

Watch it: step 7, chapter 5, “Link Management” (starts at 1:45).

Settings › Studio › Link Management, Link Management

Every link the studio has shared, who it went to and when it expires. Void one and it stops working right away.
