What clients receive

Sender, email design, templates, client updates, the client portal and the studio recap.

Written By Julia M.

Settings › Studio › Outgoing communication holds everything that reaches your clients and vendors: who emails come from, how they look, what they say, the client portal, and the recap your team gets.

Watch it: the Settings lesson in Campus, step 5, “What clients receive” (2:41). Each section below names its chapter.

Sender and copies

Outgoing communication › Sending

Watch it: step 5, chapter 1, “Sender and copies” (starts at 0:11).

Outgoing communication › Sending, Sender and copies

Sending sets who your emails are from. The from name is what clients read, and replies land in the from address, so pick an inbox someone watches.

Always copy adds a CC or a hidden BCC to every email of a type, like your bookkeeper on invoices.

Email design

Outgoing communication › Design and templates

Watch it: step 5, chapter 2, “Email design” (starts at 0:32).

Outgoing communication › Design and templates, Email design

Give every email the studio sends one look. Pick a layout, and see it right away on the right.

Put your logo at the top, in a stone banner like your client portal, or in the signature, and style the button to suit. Check it on a phone and in Outlook too.

Every email ends with Powered by Workroom unless you have white label.

Email templates

Outgoing communication › Design and templates

Watch it: step 5, chapter 3, “Email templates” (starts at 1:01).

Outgoing communication › Design and templates, Email templates

Templates hold the words for each thing you send: estimates, invoices, a late fee, a portal invite, a purchase order, and many more.

Write the subject, headline and message with the toolbar or in HTML. The green words fill in when it sends, so each client sees their own name and project. Preview shows it with real details, and Reset brings back our wording.

Client updates

Outgoing communication › Client updates

Watch it: step 5, chapter 4, “Client updates” (starts at 1:31).

Outgoing communication › Client updates, Client updates

Today's weekly update lives here: when it sends and what it includes, with a preview built from a real week.

The settings for the new Client Updates module are here too, marked Preview, ready for when that module arrives.

Client portal

Outgoing communication › Client portal

Watch it: step 5, chapter 5, “Client portal” (starts at 1:49).

Outgoing communication › Client portal, Client portal

Every client, whether they can sign in, how many of their projects they can open, and when they were last seen.

  • Filter to the ones who never signed in.

  • Sort by last seen.

  • Send or resend an invite in one click.

What each client role sees sets the starting point for a primary client, a co-client, an assistant or an architect. What one person sees on one project is set on that project's own Client portal tab. See [Client portal](../../Pending_Client-Portal/Kbase/Client-Portal-kbase.md).

Studio recap and reports

Outgoing communication › Studio recap and reports

Watch it: step 5, chapter 6, “Studio recap and reports” (starts at 2:16).

Outgoing communication › Studio recap and reports, Studio recap and reports

The studio recap is a digest of the studio's week for the owner and admins, in the same design as your client emails. Choose daily or weekly, who gets it and what it includes.

Scheduled reports send the reports you choose without anyone remembering to run them.
