From estimate to invoice and purchase orders

Turn an approved estimate into an invoice and purchase orders, and how the documents stay linked.

Written By Julia M.

Overview

Once your client approves an estimate, it becomes an invoice and purchase orders from the estimate’s status menu. Each document links to the ones made from it.

Watch it: the Finances lesson in Campus, step 4, “Invoice and get paid”, chapter 1, “Estimate to invoice” (starts at 0:09).

Steps

  1. Open the approved estimate and click its status, like Partially approved.

  2. Choose Convert to invoice or Convert to purchase orders.

The estimate’s status menu with Convert to invoice and Convert to purchase orders

Convert to invoice

  • Only what your client approved goes on the invoice, at the choices they made.

  • A deposit already paid carries into the invoice as its first payment.

  • Check the numbers, then click Create invoice.

Convert to an invoice: approved items, invoice total, deposit already paid and the new invoice number

Convert to purchase orders

  • Workroom makes one purchase order for each vendor and contractor, from the approved items, at your cost.

  • Anything already ordered is listed under Already on a purchase order and left out, so nothing is ordered twice.

  • Your own services stay off the orders.

  • Each purchase order opens as a draft for you to check and send.

Create purchase orders: one per vendor, with items already on an order left out

Good to know

  • The Linked pill on a document’s side panel shows the documents made from it.

  • Items your client declined stay on the estimate.
