Document numbering
How estimates, invoices, retainers, change orders and purchase orders are numbered, and where to set your studio code.
Written By Timothy Murenzi
Overview
Every document gets a number automatically: its type, the project’s code, and a count for that project. You can tell at a glance where a document belongs.
Watch it: the Finances lesson in Campus, step 1, “Find your way around Finances”, chapter 7, “Settings” (starts at 3:01).
How numbers are built
Estimates: EST-SEA1-00001
Invoices: INV-SEA1-00001
Retainers: RET-SEA1-00001
Change orders: CO-SEA1-00001
Credit memos: CM-SEA1-00001
Purchase orders: PO-SEA1-00001
Bills: BL-SEA1-00001
SEA1 is the project’s code. Each type counts on its own, per project.

Documents without a project
A document with a client and no project uses your studio code instead, numbered per type across the studio, like EST-JRI-00001. Set it in Settings › Studio › Finances › Documents › Numbering, where each type also has its own prefix and number of digits.

Good to know
Give every project a code. It goes into every number on that project.
Numbers already issued never change.
