Request pricing from vendors on your Library items, compare what comes back, and act on it — all inside Workroom.
Start from the Library — select items (one or many) and choose RFQ.
Ask for what matters — unit price, availability, lead time, minimum order qty, freight cost, import fee, and a delivery type (standard drop-off / commercial dock / white-glove), plus your own custom fields.
Per-vendor links — items split by vendor, and each vendor gets their own private, branded response page showing only their items.
The vendor page — shows your company header (logo, name, email, phone, website), the vendor's account number, and each item's image + details (manufacturer, model/SKU, dimensions, color, finish, material). Vendors can fill the fields or attach their own PDF quote.
Compare & accept — a side-by-side matrix with quoted price vs your Library cost, quoted-vs-accepted totals, per-vendor subtotals, and accept/reject per line (records who accepted and when).
Apply to Library — push accepted pricing (and mapped fields) straight into the catalog item, noted in its changelog.
Create POs — turn accepted lines into draft purchase orders, one per vendor, priced at the accepted quote.
Walter helps — drafts the request email, and reads a vendor's PDF or emailed reply to pre-fill the details for your review (with a two-pane PDF cross-reference view and an "Additional information" summary).
Deadlines & nudges — set a respond-by date; non-responders get automatic reminders as it nears.
Tracking — a Sent column (date + who sent it), a Seen column (email-open date/time), and a submission notification with a bottom-of-screen ping.
Access control — Quotes is hidden from the menu by default and granted per role under Settings → Permission Sets.
New — Sub-item rollup under the client total. Parents show a "+ Sub Items $X" line — the combined client price of the parent and all attached sub-items — visible even while collapsed.
New — Export Spec Sheet from the bulk bar. Select products and export per-product spec sheets, alongside Export Schedule.
New — "Add product" on empty projects. Projects with no products yet get an Add-product button.
New — Linked-documents icon. See which invoices, estimates and POs a product appears on — in its own column, and only when it's actually on a document.
Improved — Category is now a type-to-search picker, matching Vendor and Location (from your Settings categories).
Improved — Cleaner long-text fields. Removed the expand icon that covered the text; clicking the field still opens the full editor.
Improved — Duplicate reads your Settings for Location, Category and Status, with an include/exclude sub-items toggle.
Fixed — Sub-items nest correctly (no more duplicate $0 top-level lines).
Fixed — Parent client price shows the currency symbol.
New — Library tab inside a project, scoped to that project.
New — "I don't use phases" at project creation. Phase-less projects skip phase setup; WIP provisions a single task bucket on the first task.
Improved — "Waiting on" dependency picker shows product thumbnails in a searchable dropdown.
Fixed — Dependencies refresh automatically after you add or remove one (no page refresh).
Fixed — Removing a project phase clears it from WIP and reassigns its tasks, instead of leaving them orphaned.
New — Bulk "Send reminder". Select invoices/estimates for one client and send a single email listing each with its total and a Pay-now / View-&-approve link.
New — Find a document by a product inside it. Type a product name in list search to surface the invoice/estimate/PO that contains it. Search also matches project and client/vendor names.
New — Purchase Order data points & spec pills now render on screen and in the PDF.
Improved — Cleaner Purchase Order PDF. Specs and data points moved into compact chips under the item name, restoring tidy Item / Qty / Price / Freight / Tax / Total columns.
Improved — Status dropdown in the editor now reads the real status and saves immediately.
Fixed — Service-only documents convert to POs. Service lines carry a vendor and are included when converting.
New — Background uploads with a progress bar. Attachments upload in the background (with retry) and keep going even if you leave Notes, finishing the save on their own.
Fixed — Attachments are reliable. Files save to storage, open in a preview with download, and survive a reload — resolving the "this file isn't saved" error.
Fixed — Clickable links & preserved formatting. Links inside a note open on click, and rich-text formatting is kept on save.
New — Call-to-action buttons in templates. Insert a button with text, link and color; click a button in the body to recolor, relink or rename it. Includes an HTML source toggle.
Improved — Template variables pull real data. Fields like {project-name}, {invoice-amount}, {due-date} and {firm-contact-info} now resolve from the live document, project and company. All 13 default templates rebuilt as clean, on-brand HTML.
Fixed — Default CC/BCC and multi-CC. Your default CC/BCC applies on invoice, estimate, PO and general sends, and multiple CC addresses all receive the message.
New — Quotes permission set. Grant Quotes per role; hidden from the menu by default until granted (the account owner always sees it).
New — Access is a Permission Set dropdown. Set a new member's starting access to a real Permission Set, and revoke a pending invitation any time.
New — Learn More videos. Per-module help videos with a watched indicator.
Improved — New permission presets: Purchasing Agent and Bookkeeper/CPA. Module show/hide now lives inside Permission Sets.
Fixed — Seat billing. You're charged for the seats you actually purchase, and adding a member past your seat count prompts for payment instead of silently adding an unpaid seat.
